How to Successfully Plan a Corporate Event
Anyone who has tried their hand at organising an event will no doubt tell you what a taxing experience it can be. This is especially true when it comes to putting together a large scale corporate event. We’ve all heard the phrase ‘never mix business with pleasure’ but these two items are not mutally exclusive when it comes to conferences or business parties. The business of planning an event revolves around the attendees gaining some sort of benefit or enjoyment out of it so what is the best way to go about planning such an occasion? Here are some suggestions on how you can organise your event so that it goes off without a hitch.
Of course there are many elements that you need to consider when you first start to plan your event. You should begin by determining the goal of your event. Is it going to be for the purposes of networking, or perhaps you are looking to thank your clients or vendors? Once you have determined the purpose of the event then you will be able to draw up a list of potential attendees. If your event is looking to attract a large number of attendees then you should start planning several weeks in advance so that you have plenty of time to advertise and market the event.
The next task will be to consider the budget you have available as this will determine your overheads. Once you have settled on an appropriate budget it is important that you stick to it as it will be crucial that every penny is accountable for. It is with this in mind that you should determine how much it will cost your target audience to attend your event. If you price tickets too cheap then the event may be percieved as low in value and benefit. On the other hand if the price of attendance is too high then potential attendees may find it difficult to justify the entry fee. If you think that it could be difficult to claw back your overheads from the proceedings of the event, then you could approach some local companies who may be interested in in sponsoring it. In return for this sponsorship you may be able to offer discount entry, or prominent advertising space at the event itself.
If you know anyone who has organised a similar event in the past then make sure you approach them for advice as this could prove invaluable. They may be able to provide you with insights on how best to go about planning your event as well as make you aware of any potential pitfalls involved and how to avoid them. If you are organising a large corporate event then you may benefit from employing the services of a professional planner as they will be able to take the hard work off your hands. Of course only do this if your budget will allow it and if their services will provide you with a tangible return on your investment.
