How to Organise an Event on a Budget

If you have been charged with the task of organising an event for your company then it is perfectly understandable if you see it as something of a daunting task. This would be made especially stressful if you aren’t particularly experienced at organising the logistics for such events. Luckily the event planning process is surprisingly straightforward. All it takes is a bit of organisation, a good deal of forward planning and perhaps a little bit of assistance. If you follow these handy hints then your event should go off without a hitch.

It doesn’t matter what type of event you are looking to put on. Whether it’s a small informal party or a larger scale seminar, it is important to establish the theme of event. Not only will this help you to decide on your target audience, but it will also help you to determine the budget that you have to work with. When working out your budget you will need to consider how many people are likely to attend, the cost of room hire, any catering that is needed as well as additional entertainment. Once you have settled on a suitable budget it is very important that you do not exceed it as every penny must be accounted for, especially if you are organising an event on behalf of your superiors.

The next thing to consider is the venue in which the event is to take place. When making a shortlist of potential venues it is important that you take into consideration the number of people who are likely to attend. On one hand you won’t want to end up with a venue that is too small to accommodate everyone and on the other hand it is important that your venue is so large as to make the attendees feel a little isolated, compromising the atmosphere. Another important element to consider is how easily accessible the venue is. This is especially important if you are organising a seminar where people are likely to be travelling a long way to attend. A safe bet would be to book a venue on the outskirts or centre of a large town or city as transport links are likely to be very good. It will also improve the odds that there are hotels nearby where attendees will be able to stay overnight if required. It would also be very wise of you to enquire with each venue to see if they provide anything in the way of catering or entertainment facilities, as this would give you less tasks to organise.

With all this organising the costs are sure to mount up quickly. It is for this reason that you may wish to approach some local companies in the hope that they may be able to sponsor the event so that you can recoup some of your overheads. When drawing up a list of possible companies, try to approach businesses that may have a vested interest in targeting the attendees who are likely to be at your event. In return for a financial investment you may wish to return the favour in the way of a prominently placed banner at the event, promotional literature on the company for each attendee or perhaps free tickets to the sponsoring company.

When organising your event, be sure to start planning several weeks in advance so that you have time to market the event appropriately. This is especially important for events where you are likely to have a large number of people attending.
