Tips For Scanning Documents With Windows 7

As businesses continue to purchase Windows 7, their employees are going to notice some dramatic changes. Especially if they had been using Windows XP for the past six or seven years.

There is a new taskbar as well as calendar, movie and photo features. There are also a lot of new items in the Control Panel. Overall, the new Windows 7 is a great operating system.

However some people may not know how to scan documents with the new operating system, especially if they were using Windows XP. To help you to scan documents here are some helpful tips:

– Make sure your scanner is on. Be sure it is properly connected and installed to the computer.

– Turn on the computer and click the Windows Start button. Find the All Programs menu. You should see Windows Fax and Scan. Click this item.

– At the bottom of the screen there should be something that says Scan. Click this item.

– Across the toolbar on the top click the New Scan button.

– After you have clicked the New Scan button, check the Profile List. After that, select Documents. Here you can change document scanning settings.

– Once you have selected the settings you like, click the Preview button to see what the document will look like. If you don’t like what you see, you can go back in and change the document scanning settings.

– Once you get a preview that you like, go ahead and click the Scan button. The scanned document should pop up on your screen.

Windows 7 offers several tools to help you edit the document.

Cropping
You can Crop images during the Preview portion of the scanning process. Drag the curser over the image to select the portion of the image or document you want to crop out. This cropping tool is great for images because you don’t need a separate photo editing program to crop the photos.

Organizing
Like previous versions of windows, you can organize your scanned documents or photos into folders. You can right click on your desktop or in another document folder and select New Folder. Be sure to name your folders and files with keywords. This will allow you easily search for the files.

Finding Scanned Files
Sometimes you will want to find the location of where the scanner sent the scanned file. You can find scanned documents in the Documents folder under the sub-folder titled Scanned Documents. From there you can move files to a jump drive or another folder.

The tips above are great if you are scanning just a few documents every now and then. If you’re a business and you’re looking to digitize an entire file cabinet of documents would not recommend this solution.

Using the method above, it would take a long time to scan an entire filing cabinet of documents. If you are looking to digitize lots of documents we recommend checking out the various document imaging companies out there.

These companies can help you find the right scanning solutions for your business. These companies often also specialize in data storage solutions.
