Planning Your Company Event

If you are looking to plan an event for your company then the task of organising such a large scale corporate event may seem like quite a daunting one, especially if you are more of a novice when it comes to such tasks. There is no need for you to worry as if with a little forward planning there is absolutely no reason why your event shouldn\’t go off without a hitch.

The first step is to determine the theme of your event. Company events can take all different types of forms from an informal company christmas party to a major corporate seminar. Once you have established the goal of the event this will help you to set out your plans for the rest of the event. The next stage is to consider your budget as this will be the major limiting factor when it comes to deciding how complex or basic your event will be.

If your event is likely to be a large, corporate affair then it is likely that you will need to establish a team who will be able to deal with all aspects of the organisation. Gather together a range of staff memebers, each of whom have their own unique skillset which will help to bring their own individual benefits to the task of organising your event. Establish a time frame in which the event must be organised and delegate tasks accordingly. It may be worth holding regular organisation reviews to ensure that each staff member is on course to complete their particular task in time. This will also give you the opportunity to overcome any complications that arise and make use of the group to brainstorm solutions.

It is of the utmost importance that you don\’t overlook the need to market your event, especially if you are looking to attract attendees from far afield. In the case where you are organising a conference you should start marketing months in advance. Some conferences may start advertising up to a year in advance of the actual date.

Another important aspect to consider is the venue. When drawing up a list of potential venues for your event you should take care to make sure that it is based in a suitable location. Try to find somewhere near a town or centre so that there is good access. If your venue is in such a location it will also ensure that there are hotels nearby so that any attendees who have travelled a long distance to get there will have somewhere to stay for the night.

On the day of the actual event try to have staff on hand to help attendees and make sure that they know the programme for the day. It will also benefit you when organising future events if you can get feedback from your attendees. This way you will be able to find out where your event excelled and where it could perhaps be improved.
