Things to Consider When Planning Corporate Events
Planning a business event is a big responsibility, even for those who have had the experience before. You have a lot of people you need to impress and a lot of things to accomplish in order to impress them. The process can be fun, but it will still be stressful. Even once the event is in action, you are still not able to relax and enjoy yourself if you are responsible for making sure everything goes well. Though business events vary from company to company, there are a few things all planners need to be concerned with. If an event requires feeding those in attendance, it is important to find a company that can provide food that is safe, delicious and appropriate for the event. BBQ catering is great for a casual event and corporate catering can provide something more formal. No matter what you choose, be sure to taste test everything in advance.
You guest list will set the tone for the event. Chances are, with a business event, the guest list will be pretty easy to assemble. If the event is intended to drum up business or serve as a public relations endeavor, you will want to invite those with an interest in your product or service. If the event is in-house, you will be inviting co-workers and people who work for your company. Have an idea in advance of how many people will be on your guest list. If there is no way to know for sure, estimate it as best you can and prepare for a slightly higher number than you would reasonably expect.
One of the main things often overlooked at events is entertainment. Though people can use up a lot of time mingling and dining, it is important to offer an option during the evening that gives them a chance to relax and enjoy something without having to make an effort to talk to people. Planning a presentation or performance is a great way to share your message with those attending your event. Even if the performance is not directly related to your company and you are planning it strictly for entertainment purposes, it will still leave attendees feeling good about the event and your company.
When choosing the venue for your event, make sure you pick a space large enough for the attendees and for anything you are planning to do during the event. You might need to a stage for a performance or a center court area that is away from the mingling and dining area. Take time to think through the evening from beginning to end and determine the set-up that will work best.
Finally, make sure you follow through. Regardless of your event, it was planned with a purpose in mind. Make sure you follow up with potential customers or follow through on any promises you made to co-workers. Business events are a great way to boost morale, as long as the message at the event is not forgotten as soon as it ends.
