Office Relocation: Important Tips to Keep in Mind

Moving an office is a lot more work than, say, moving to a new house. Accordingly, there are things you need to keep in mind that you wouldn’t have considered in any other type of move. Luckily, we are here to help. Here are a few additional tips for you:

Assign a project coordinator. Because moving an office is so much work, and relies on so much planning, we highly recommend that you select or hire a project coordinator. They can look for the best movers and then stay in touch with them throughout the process. They will also be in charge of working with the government with regards to occupational and payroll considerations. In addition, they will be in touch with higher management-if that is an aspect of your business. Ultimately, a project coordinator will really help you stay on top of things-things that are all too easy to forget.

Have your technical support team prepared. An office move will be a lot of additional work for your technical support team, whether they are in-house or outsourced. Inform them of your plans ahead of time, so that they can be properly prepared. Prolonged internet or phone interruptions can seriously harm, if not altogether halt, your business. You want this stuff to be up and running again as soon as possible, and informing them will allow them time to prepare. Remember, there are only so many electrical outlets and phone and internet jacks, and you’re going to need to keep their location in mind when laying everything else out, as well.

Schedule meetings with your employees. As the moving date nears, make sure your employees are notified and ready. Provide them with instructions pertaining to what they need to do come moving time. They will be unsure, and wanting your guidance, so offer it to them. Give them specific directions; tell them what they are responsible for packing, such as their personal items, and how they should go about doing this-how things should be labelled, and so on. It will make the move a lot less stressful for them.

There’s still work to be done after the move. Don’t forget this one: Even after the move is completed, and business is up and running again in your new office, there will still be a few things left on your checklist. Stay in touch with your employees to make sure that the move hasn’t caused them any difficulties; make sure that their efficiency hasn’t been hampered by a change in the environment-the relocation of a piece of equipment, for example. And also, and this one is extremely important, send out change of address cards to all of your clients, vendors, banks, and everyone else who might be affected by your move. Publish a notification regarding the move on your website. Basically, get the word out. Make sure you don’t lose any contacts; you don’t want your business to suffer because of this.
