– Always shut down the computer properly before the person leaves from his seat. Other options are also available on the computer such as stand by mode or hibernation.

– Always maintain a back up of the data in compact disc or hard disk which the person has collected so that it can be saved for a longer period.

These steps should be followed by each and every individual or every company to maintain the proper records of their documents. This will prove very beneficial for them in increasing the productivity of their organisation also.
