Why You Should Use an Online Invoicing System
If you work in a business that still handles monthly invoices the old school way, it is time for you to accept the fact that the internet is here to stay. Not only is it here to stay, but you are wasting a great deal of time and money if you are not using it. Converting your monthly processes to an online invoicing system is something that you should look into as soon as possible. Would you rather that your employees work on getting new customers and making new sales, or spend time sending out bills? Online billing will allow your business to focus on the crucial activity of generating more income.
The old-fashioned way of sending out monthly bills was cumbersome, to say the least. First you had to track down the paperwork for the client you need to send a bill to. Then you had to manually create the bill, print it and put it in the envelope. You also had to either write the address on the envelope or attach the label and of course you had to pay for postage too. That is just the work of getting the bill in the mail. You also had to take extra time to track the fact that you sent the bill out.
When you finally make the conversion to a system that handles your invoices online, all of your customers will get their bills through their email. At this point, that is probably the way they handle all of their other bills anyway. All they have to do is click on the link they are sent to find the details of whatever it was that they purchased. Another great feature of handling your invoices online is that it also gives you the ability to accept payments online. There will not be anyone who has to waste an hour every morning opening the mail to pull out the checks and make a deposit. All of that will happen through the electronic systems.
As people are getting more and more concerned about the environment, this online process will also help save the trees. For each client, you are creating a piece of paper, an envelope and in most cases you are also supplying them with a return envelope. All of that goes away with an online system. Not only will changing to an online system save you time and money, but your customers will like it better too. They no longer have to go through the mail looking for bills; they can get your bill through their email like the rest of their bills. They do not have to keep track of their bills and put them in the stack of papers they pretend like they will file someday either. Keeping the paper does not matter because the information is all online.
The really great thing about these kinds of software is that they are usually much easier than the old- fashioned methods. It will be easier to train several people to handle the process at a time and it will be much easier for them to learn this online than it used to be having to train them of where to find all of the paperwork to create the manual bills.
