Trade Show Organization Tips
You know the importance of attending a couple of trade shows during the year, but the thought of organising them can be a daunting prospect. This doesn’t need to be the case; you will have a successful trade show if you plan ahead, make sure you have the human resources and the correct budget.
Firstly, always appoint a trade show project manager. You need someone to co-ordinate everything and the project manager is the person to whom everyone involved reports to. The project manager needs to have the ultimate say in what happens. Your project manager must be skilled in dealing with people and must be fully aware of what the company does and the products and services it offers. Above all he must know exactly what result is expected from attending the trade show.
Having appointed the project manager it’s time to get the rest of the people needed around a table to discuss the preparation. The project manager needs to be able to identify the best people for each of the roles necessary to make the trade show successful. He needs to know their strengths, but also their weaknesses and he must know what workload they can take on and how they operate in potentially stressful situations.
Draw up a flow chart. It’s the easiest and most effective method of graphically detailing how you get from the beginning to the end of trade show organisation. List every detail, the task you expect each person to do and importantly, add timescales, so everyone knows what deadline they are working too. Make as many branches as necessary to achieve you goal, but make certain the all the branches tie in together at the end of the flow chart. Ensure everyone involved has an individual copy of the chart and that before you break up the meeting all concerns are addressed and everyone understands their job.
Set diary dates to reconvene the meetings at regular intervals. It easy for thing to go off track so meeting up brings everything back into perspective and gives the opportunity for any issues to be raised and resolved.
Keep regular checks on all the people working on the trade show planning. It shows good management, means your helpers have a chance to air any problems, but also makes everyone part of a team that has an ultimate goal. Every person involved plays an integral part to ensure the trade show is organized well so it’s important they know they’re not left out or forgotten.
As the organization for the trade show progresses, start to rehearse everything if you can. By this stage you will have found any weak points, so address them.
It’s important to follow the flow chart, but be prepared to make alterations along the way. New ideas are thought up as you proceed and some things may not have worked as well as you had planned.
