The Ideal Conference Venue
Event organisers in the UK are responsible for some of the largest and smallest events in the UK from weddings, conferences to larger projects like exhibitions, venue launches or new product launches aswell. I am going to be concentrating on the more common events like conferences where event organisers have to be versed in a range of elements of organisation. First of a conference venue needs to hold large amounts of people which is also laid out well and very well equipped with common technologies required in everyday offices. In addition to be well laid out they need a whole range of options for tables and chairs to choose from with latest AV equipment aswell.
A conference venue should upon entrance should portray an image of professionalism and have a welcoming effect to make delegates and organisers confident that the proceedings will run smoothly. An obvious repercussion of this is that recommendations will come through thick and fast. Event organisers should provide their clients with as many options as possible to make their delegates feel at home so for example there should be a choice available for the types of room to a conference in which accommodates good sound equipment and a range of furniture.
Some clear but sometimes overlooked elements of conferences are technology requirements. A good conference will require good quality audio visual equipment which essentially when a speaker is talking down a microphone that all delegates should be able to hear them clearly without any issues. Something that is required more and more these days is Wi-Fi connections as with technologies like laptops, iphone and other mobile technology most delegates will be looking for an active internet connection. Ensuring that this is available and other details at the start of the conference are provided is essential.
Most conferences will take place over a day therefore as the event organiser you will need to provide your client with options for food and drink and not just for one point in the day, remember there will be breaks and you will require snacks and refreshments for this. Therefore either provides your client with a restaurant or mobile caterers that will provide all food i.e. main meals and as earlier provide refreshments and snacks for throughout the day. The above is fairly standard but also consider where the clients delegates will be travelling from? Is the venue easy to get to? Can you provide delegates with options for accommodation?
A conference generally has a number of people attending and somewhere that will require serious attention is that the venue provides adequate facilities for the clients delegates. There should be WC facilities and areas labelled out for delegates to take in refreshments and generally network with other people at the conference. Ultimately good event organisers will know what their customers require from their venue and they will know every detail down to the number of people that need to be invited and their requirements aswell. Preparation is absolutely key in this business.
