Planning a Corporate Event Made Simple

If you are looking to plan a company conference or event there will no doubt be a long list of tasks which need to be organised and completed. If you are something of a novice when it comes to planning such events then the prospect of having so much reponsibility placed on your shoulders can be a rather daunting one. There is no need at all for you to panic as with a little bit of forward planning there is no reason why your event should not go off without a hitch.

The first and most important task is to establish the theme of your event. Corporate events come in all different forms and depending on the company you may have been tasked with organising a seminar or perhaps even a more informal event such as a Christmas party. Whatever the event, it is vital that your objectives are clear so that you will have a good understanding of what tasks are required of you.

It is more than likely that your event is going to require that you book some sort of venue for it to take place in. When drawing up a shortlist of potential venues there are a number of aspects which you should take into consideration. Obviously you will need to decide how many people are likely to be attending. There is no use in trying to book a small venue in the hope of cutting costs when the demand for your event is likely to ensure that not everyone will be able to fit. Likewise you should also enquire into the facilities that the venue provides. If you are organising a party or large conference then you would be wise to enquire as to whether the venue has the facility to cater to your guests.

Just like when buying a house, think \’location, location, location\’. If your guests are likely to be travelling a significant distance to attend your event then it would be sensible to pick a venue based in or around a major town or city. This will ensure that there is adequate access by car or rail and it will also ensure that there are plenty of hotels in the vicinity.

As well as the facilities, you must also consider what equipment your event is likely to require. If you are organising a conference where there are to be guest speakers then it is more than likely that you will need a range of different audio visual equipment such as projectors, screens, PA systems and microphones. Don\’t worry about having to spend a vast proportion of your budget on buying such equipment, as there will be a number of suppliers who offer their services renting the types of equipment which you are likely to need,

One final point to remember: the larger your event, the further in advance you should plan. More complex events such as conferences are often planned up to a year in advance. This ensure that there is plenty of time to market to attendees and it also gives plenty of time in case the planning doesn\’t go perfectly to plan.
